Receiving calls

When the phone rings, the caller’s phone number and name appears on the screen. To answer the call

    • Lift the handset and talk normally, or
    • Press the ‘Speaker button’ to talk hands free

After the call, to hang up, place the receiver or press the speaker button again.

Placing calls

To place a call

    • Lift the receiver or press the speaker button to get the dial tone
    • Key in the 11 digit telephone number to place the call
    • Always dial ‘1’ even for local numbers (for e.g. 1 206 123 1234 or 1 425 123 1234)
    • For international calls dial 011 country code area code and the phone number. For e.g. to dial Hyderabad India 011 91 40 xxx xxxxxxx

To end the call

    • Place the receiver or press the speaker phone button

Calling internal extension numbers

Lift the handle or press the speaker button and

    • Dial the three digit extension. Wait for two seconds or press dial/send soft button on the top. (Please note the functionalities of soft button change as the status of the call changes)

Voice mails

When you receive a voice mail, the phone icon on the screen would change into an envelop icon, the light on the top of the phone would blink and the dial tone would change into smaller beeps. All the voice mails will be converted into wav files and will be emailed to your company’s email address.

  • To hear the voice mails on the phone
    • Press the ‘Messages/Msgs’ button (hard or soft button depending upon the model of the phone) and then select ‘Connect’ soft button. Follow the voice prompts to hear the messages.
  • Configuring Voice mail messages
    • Currently all the voice mail boxes are configured with default message that states ‘The person at extension xxxx is not available ….”. To configure the voice mail message, do the following.
    • Press the ‘Messages/Msgs’ button (hard or soft button depending upon the model of the phone) and then select ‘Connect’ soft button. During the voice prompts, press 0 and get into advanced options. Follow the prompts to record your own message.

Call transfers

There are two types of transfers and they are ‘Attended’ and ‘Blind’ transfers. Attended transfer is used when you want to talk to second person before transferring call. Blind transfer is used when you want transfer the call without talking to second person.

When a call is received, the soft button options on the top will change. To transfer a call

  • Attended transfer
    • Press ‘trans’ on the top
    • Dial internal or external number
    • Talk to the person, the caller will be put on hold and they can’t hear the current conversation
    • And select ‘trans’ button again
  • Blind transfer
    • Press ‘trans’ on the top and then select Blind
    • Dial internal or external number and the call will be transferred

Conference calls

To have a conference call with third party, during the call

  • Press ‘conf’ soft button on the top
  • Dial internal or external number
  • Press ‘conf’ soft button again to start the conference

Follow me

For people who are always on the move, we can configure ‘follow me’ options on their desk phones. When configured, the desk phone would ring, say for 10 seconds and when the call is not answered, the call would be automatically transferred to any phone number of their choice. If you want this option enabled, please send the ‘follow me’ phone number to your System Administrator. Please note, when ‘follow me’ option is enabled, the system won’t capture any voice mails.
